Events Assistant(s)

The European Policy Center (EPC) is looking for two collaborative, adaptable and stress-resilient interns to join its Communication and Events Team. Although the role gives insights into the work of the entire organisation and how a think tank works, it does not entail policy research. Instead, it focuses on event logistics, from clearing up the EPC kitchen & event spaces to printing name plates, as well as greeting speakers. The six-month traineeship (extendable to one year) will also include EPC’s move and set-up of a new office and event spaces. 


The primary role is to support the preparation and implementation of around 10 on-line, hybrid and in-person events per week (both internal and external). In ongoing cooperation with and support of EPC’s seven Programmes/teams of (research) analysts, tasks include (but are not limited to): 


Event logistics and communication:

  • Creating event invitations with a (Canva) template
  • Sending invitations, and a weekly events newsletter, using a central contact database and a mailing tool 
  • Setting up the two event spaces (chairs, tables, AV equipment), including coffee preparation
  • Ensuring the smooth running of all events, including the use of on- and off-line audio-visual tools and equipment
  • Managing on-line and in-person event registrations.

 

Collaborating with the wider EPC Operations and Programme teams: 

  • Procurement tasks for the purchase of event and office supplies and services, e.g. EPC-branded material, IT and audio-visual tools & equipment, catering and other hospitality services, as well as travel and accommodation    
  • Effective project management and support tasks to ensure smooth workflows across the entire organisation 
  • Ad hoc tasks as requested by the Event Executive and both the Operations and Communication Team leads, and their team members. 

 

Qualifications, Skills and Values:

  • Higher education degree or diploma in horeca/hospitality, event management or similar preferred 
  • Native or excellent level of English, with good editing & writing skills and an eye for detail 
  • Proficiency in the use of Zoom & Teams video meetings is essential; experience with audio-visual equipment & IT skills are an important asset
  • Proficient in MS Office; experience with web content management, design software (e.g. Photoshop, InDesign) and mailing tools (Sarbacon)
  • Experience with AI support for event logistics, data collection, communication or other tasks
  • Strong interest in current affairs, both European and global, is an asset
  • Commitment to EPC Values and contributing to the well-being of the organisation.

These positions will be recruited under the Convention Immersion Professionelle (CIP) with a stipend of € 1175 per month.
