Events Executive

Would you enjoy the buzz and pace of daily event management in a high-level policy think tank environment? Are you innovative, well organised, detail-oriented and able to manage numerous procurement processes? Are you a good ‘people person’ and adept at working with many different teams? Do you have experience organising full-day forums/conferences with over 200 participants?  

The European Policy Centre (EPC) is looking for an innovative and pro-active events professional to work with our 50+ analysts and project management team to set novel EPC event standards, including for a new EPC event space. The successful EPC Events Executive will believe in the European project, be a fast learner (including with AI) and enjoy independent think tank discussions on a range of policies. Responsibilities and tasks include, but are not limited to: 

  • Manage the preparation and running of in-person roundtables, panel discussions, key-note speeches, and conferences on site and in external venues.  
  • Ensure the smooth management of daily on-line and hybrid Zoom-based, including Q&A, other interactive features. 
  • Work with Brussels-based event and AV service providers.  
  • Upload visuals, text and videos on the EPC website and YouTube channel. Use dedicated software to launch payments for purchases and services, as well as to send event invitations and newsletters. 
  • Manage the procurement of accommodation and travel for speakers and EPC analysts, with the support of an event assistant. 
  • Manage one-two event trainee/assistants, and on-board new ones every 6-12 months. 
  • Work within the wider Communication and Events teams, to ensure strong communication before, during and after events, including photographer and live social media reporting, when needed.   
  • Be an active part of the EPC’s Operations team and the entire organisation, collaborating with colleagues from seven Programmes.  

 

Skills:  

  • C2 level English and an eye for detail. Basic French or Dutch would also be an asset. 
  • Proficient in MS Office, Zoom, Jotform, Canva and InDesign (an asset). Knowledge of Sarbacane and SAP would be a plus. 
  • Willingness to develop website, social media and new software skills. 
  • Able to use (and/or be trained in) audio-visual and other technical equipment.  
  • Demonstrate an interest in European politics, be adaptable and eager to learn.

Based on the EPC’s Brussels Economic Security Forum #BESF2026, please 1) create a concise workplan of the main steps for its organisation (with overall timeline), 2) draft a topline budget for the event’s main expenses, and 3) create a one page (max) invitation to send to guests/participants. Please indicate if and how you used AI or other tools.
